Event Project Manager (Temporary-to-Permanent)

Our client serves many of the largest corporates in the UK, Europe and the US, including over 95% of the FTSE 100 and over 80% of the Fortune 100 plus many of the most influential financial institutions in the world.
Due to continued growth in the marketing team an exciting opportunity has arisen for a seasoned events professional. This role is part of a team responsible for implementing planned bespoke, large-scale or high profile events or event related projects with a focus on business-to-business conferences and bespoke hospitality activity. This role is initially related to events in the Middle East, and as such a good deal of travel is involved to locations including Dubai and Bahrain, therefore an awareness of the cultural implications of managing events in this area is highly desirable.

The successful candidate will project manage, design and deliver differentiated, quality and client focussed events with the objective to generate optimum relationship building or brand / product /sector profile building opportunities. Therefore the ability to prioritise, and possess high level organisational and time management skills, along with the ability to work independently and communicate excellently at all levels is key. Strong interpersonal and influencing skills with very wide ranging experience across all aspects of bespoke event delivery are minimal requirements.

Event Manager - Logistics

The Client

My Client produces 35 to 40 international conferences per year from the UK office to a global audience of Europe, Middle East & Asia, attracting senior level executives from major players in the business area to which the conference theme is targeted.

The company has six departments – production, sponsorship and exhibition sales, delegate marketing, telesales, event management and accounts.

The Role

The Event Manager is responsible for all aspects of conference organization, including venue selection and negotiation; delegate, speaker and other attendee registrations; organization of all aspects of the conference and exhibition and on-the-day event management.

Detailed Functions of Event Manager

Venue issues

- Act as main point of contact for all arrangements with the venue once contract has been negotiated and signed.

- Provide venue with required information at appropriate points during lead-up to conference.

- Take full responsibility for ensuring all conference requirements are met by the venue and that venue staff fully understand, and are prepared for, each component of the event.

- Source venue and caterers (where appropriate) for any additional functions such as gala dinner or sponsored cocktail parties.

External suppliers

- Recommend to Head of Operations appropriate suppliers for AV and any other technical equipment required at each event.

- Negotiate price for equipment supply/hire and act as main point of contact with contractor.

- Brief suppliers of signage, conference documentation delegate and speaker gifts and any other material and ensure requirements are met in full and goods delivered on time and within agreed budget.

Speaker issues

- On production of conference brochure, contact all speakers and provide them with full brief on what is required from them.

- Ensure that copies of all presentations are received in time for production of conference documentation.

- Book speaker accommodation and travel where required.

- Ensure that all speakers accept or decline to have their presentation filmed (where appropriate).

- Inform conference producer of any changes to speakers throughout the run-up to conference.

- In conjunction with conference producer, assume responsibility for production of the final conference schedule.

Delegate issues

- When the registration executive is not available to do so, Process all delegate registrations and mail confirmation information and invoices to attendees

- Produce conference attendee lists when requested by sales, marketing or production.

Sponsor and Exhibitor issues

- On confirmation of a sponsorship or exhibition sale, produce invoice and send to client.

- Produce Exhibition Manual for each event and send to each sponsor/exhibitor at appropriate time.

- Maintain regular contact with all sponsors/exhibitors in the run up to the event to ensure that all their exhibition requirements are met and that all material required from them is received by the appropriate deadline.

General office duties

- Order general office stationery and other products when required.

- Assist Head of Operations with sourcing new suppliers for conference and general equipment when required.

- Book staff travel and accommodation both for events and, on occasion, other business-related trips.

The role requires regular liaison with all other company departments.

Person Specification

You will be a graduate in any discipline, with at least 12 months’ international conference management experience (including some exhibition logistics), gained either within a commercial conference or agency environment.

Excellent knowledge of WORD, Excel, PowerPoint, Internet searches and MS Outlook are required

Fluency in one or more European languages preferred but not essential.

Premier Events Manager – London

Description:

A large corporate bank requires a Premier Events Manager to work closely with the sponsorship and marketing teams to ensure sponsorship events and hospitality requirements are met. This role will entail client management and event design and delivery. The successful candidate will need to be able to develop creative event solutions for all sponsorship rights, pitch proposals and manage budgets. You will need to maintain effective relationships with the sponsorship team and all suppliers, attend and manage events on-site, and provide post-event feedback. Candidates will need a sound knowledge of UK venues and how production companies work, as well as broad events experience, to include delivery of sports sponsorship event activity, conferences, road shows and corporate entertainment.
