How to Organise a Charity Fashion Show

If you are looking for a festive fundraiser that combines entertainment and glamour, consider organising a charity fashion show. From finding the perfect venue and theme of the event to selecting a team of models to strut down the catwalk, a charity fashion show requires months of planning, hard work and a passion for fashion. Follow these steps to create a memorable fashion show that features cutting-edge designs and raises cash for your favourite charity.

Step 1
Create a theme. If your charity creates programs to save the environment, a show featuring the latest eco-fashion is desirable and appropriate. Consider a theme for the show that clothing sponsors are willing to support and that represents the mission of the organisation effectively.

Step 2
Build a knowledgeable team. A successful fashion show requires the help of six key personnel: a backstage manager, show producer, publicist, model coordinator, sponsor and clothing liaison, and sales manager.

The show producer is responsible for executing the theme of the show, creating a budget for the event and hiring all personnel. The backstage manager oversees the production of the fashion show. The publicist generates publicity for the event. The model coordinator hires the models and coordinates the clothing fittings. The sponsor and clothing liaison solicits vendors and clothing designers to donate products and services for the charity event. The fashion show sales manager is responsible for ticket sales, generating in-kind donations and managing corporate sponsorships.

Step 3
Select the venue. The venue determines the time of the show and the crowd capacity. When selecting the perfect fashion show venue, closely examine the venue’s lighting and sound potential, backstage area, parking facilities, handicap access, insurance requirements and any hidden costs.

Step 4
Solicit clothing and event sponsors. Create a sponsor package that features the theme of your event, the mission of the organization and the goals of the fashion show. Submit letters to local fashion designers and corporations a minimum of six months before the start of the fashion show for clothing, donations and discounted services.

Step 5
Find models, volunteers and backstage personnel. One to two months before the fashion show, hire models, hairstylists, dressers and makeup artists. Contact local fashion design schools for student models, fashion designers and aspiring fashion editors to volunteer their time and skills to defray the costs of hiring talent.

Step 6
Sell tickets, invite VIPs and create buzz. Invite journalists, fashion arbiters, editors and important charity donors to your fashion show. Send invitations a minimum of six weeks before the show. Submit press releases to media announcing the charity fashion show.

The key to successful event planning is being resourceful and avoiding uncertainties. The more you research your available resources, the simpler it is to overcome any obstacles to your objectives and pull off the perfect social function.

When putting together any social function, business party, special event, or mini festival, you can’t begin advertising or producing promotional material until you have chosen and contracted a fitting location. Likewise, it would be putting the cart before the horse, to sign up a speaker or book your entertainment before your event visions have been brought clearly into view.

Event Planning Tools
Preparing lists for the many planning stages is an excellent way to stay organised and accomplish your goals. A check list is an important tool for planning any event. Having one will increase your productivity and the chances of meeting your objectives. Some useful headings to use for your check list may be: Tasks, Notes, Due Dates, Activity/Items, Cost, Actual Cost, Questions, Completed, etc.
Whether your check list is on your website, laptop, PDA or or legal pad, it is important to constantly update and amend your list to comply with your changing needs.

Event Budgeting
It is important to scrutinise your actual costs as they emerge, and compare and prioritize them to reach your projected goals. Crucial to the process is having a budget. A budget is a written projection of your expected income and expenditures for a specific time frame. Such a tool is a dire necessity when overseeing financial projects, and a precise budget is your most valuable resource for making intelligent choices. Be sure to update your budget frequently.

Identify your profit sources so you can plan how and when the profit should be spent. Generally, there will only be a few sources of revenue: participants, sponsorship, reserves, and possibly your own private funds.

Event Venues
There is a large selection of event venues to choose from, so feel free to be creative! The hospitality industry thrives on meeting the specific needs of many different types of groups and individuals from all over the world.

When choosing a location, keep in mind that just because a site may seem quite impressive, it doesn’t necessarily mean that it’s out of your price range. Don’t be intimidated. That classy location could end up being the perfect one for your special event.

Event Design
If catering to the upper crust is your intention, you might want to consider hiring one of those companies with the reputation for “doing it right”. If this is not your objective, and you’re planning a social or festive event, be sure that your theme design transforms the mood of your participants upon entering your affair.

Event Lighting
The purpose of choosing appropriate lighting is to not only draw attention to show pieces and focal points, but to also provide a welcoming atmosphere at your event. There are many different types of lighting which can be employed to create the desired effects when lighting backgrounds and walkways, dining tables and buffets. Coloured lights next to white spot lights can make clear distinctions, while holiday lighting, applied to landscaping and entrances, can create dramatic effects as well as insuring that the pathways are attractively lit.

Britain for Events to champion £22bn industry

Visit Britain has refreshed its National Meetings & Events Week campaign in time for its tenth anniversary. The initiative, which highlights the £22bn-a-year contribution the event and meetings industry makes to the UK economy every year, will now be known as Britain for Events 2010.

As well as a new name, the campaign will now be extended over a longer period of time with a series of events taking place over several months, culminating in a focus week from 18-25 October 2010.
So far the line-up includes an MP Forum at the House of Commons, and the Event UK exhibition from 21-22 September at the NEC Birmingham.

“We are looking to raise our game yet again, and not just because we have reached our landmark tenth anniversary,” said Visit Britain co-ordinator Simon Mills, who is also head of business visits and events and partner marketing.
“By adopting the new Britain for Events 2010 branding we are looking to use the vast reach of Visit Britain, its international network and corporate partners.”

Last year the campaign reached more than 17 million people globally through its online activity.

Two years to go until London 2012 Games: celebrations

Today marks exactly two years until the Opening Ceremony of the London 2012 Olympic Games.

To celebrate the occasion, athletes and young people will be joining Olympic officials and London Mayor Boris Johnson on the first tour inside the Olympic venues to see the progress being made.
Gold medal winning cyclist Sir Chris Hoy will be welcoming visitors to the Velodrome by cycling inside for the first time, while former NBA star John Amaechi and young basketball players will be shooting the first hoop inside the Basketball Arena.

Today also marks the opening of the London 2012 Volunteer Programme, to recruit the 70,000 volunteers needed to stage the Games.
People wanting to apply for specialist positions such as doctors, anti-doping personnel and scoreboard operators can do so from today.

Applications for the generalist roles, which include ticket checking, uniform distribution and staffing information points, will open on 15 September 2010.
The London Mayor will also begin his hunt for 8,000 London Ambassadors responsible for making sure all visitors get the best possible welcome during the Games.
“The skyline of east London has changed dramatically over the last few months as the venues take shape,” said ODA chairman John Armitt.

“It is a sign of the strong progress we have made that we are able to stage these events on the site today and give the public a glimpse inside the world class new sports venues being built for the Games. There is still a long way to go and we are not complacent but the foundations for success are now in place.”
Tickets for London 2012 go on sale in the spring of 2011. More than 1.4 million people have already registered their details on tickets.london2012.com.
Further pricing information and initiatives are expected to be announced this autumn.
